What heating and cooling repairs actually cost.

Ask three things when you book: the service call fee, whether diagnosis is priced separately, and whether either is credited against the repair if you go ahead. Then, when they have diagnosed it, ask the question that actually decides what you should do: how old is the system and how much life is left in it.

A repair that is a fraction of a replacement is easy. A repair that is a third of a replacement on a system with a few years left is a judgment, and it is usually made badly at ten at night in a cold house.

What drives the price

Emergency versus scheduled. Out of hours and same day rates in a cold snap are substantially higher. If the house is safe and someone can manage a night, the morning is cheaper.

Diagnosis time. An intermittent fault costs more to find than a dead one.

The part. Capacitors and igniters are inexpensive. Control boards, blower motors, and heat exchangers are not. Compressors are the most expensive single component on a cooling system.

Refrigerant work. Regulated, and priced accordingly. A leak search and repair is a different job from a top up, and only one of them is a fix.

Access. An attic air handler in July, or a crawl space unit, costs more in labor than the same work in a basement.

Age and availability. Parts for older systems get scarce, and a discontinued part turns a repair into a replacement by default.

The common jobs, smallest first

  • Filter, thermostat batteries, a reset. Often nothing beyond the service call, and often avoidable entirely. The four things worth checking yourself.
  • A capacitor. Cheap part, quick job, very common cause of a unit that hums and will not start.
  • An igniter or a flame sensor. Small.
  • A condensate pump or a blocked drain. Small, and worth doing before it floods a ceiling.
  • A blower motor. Moderate.
  • A control board. Moderate to substantial.
  • A refrigerant leak search and repair. Substantial, and worth doing rather than repeatedly topping up.
  • A compressor. Often close enough to replacement cost that replacement is the better answer.
  • A cracked heat exchanger. A safety condemnation as much as a repair. The unit is normally replaced, and it should not be run in the meantime.
  • Full system replacement. The largest, and a planned purchase whenever possible.

The repair or replace question

Rough framework, not a rule:

  • How old is it? Most systems have a usable life measured in a decade and a half or so, longer with maintenance.
  • What fraction of replacement is this repair? A large repair on an old system is money spent on something that will need replacing anyway.
  • How many repairs recently? Two in two years is a pattern.
  • Is the refrigerant type still supported? Older refrigerants are being phased down and are increasingly expensive, which changes the arithmetic on any refrigerant repair.
  • What would a new system save? A significant efficiency gain over a very old unit is real, and it is also the thing every salesperson overstates.

Get a written quote for both options and take a night over it if the house is safe.

Where money is wasted

Repeated refrigerant top ups. Refrigerant is not consumed. If it is low, there is a leak, and paying to refill it annually is paying to lose it.

Replacing a part without asking why it failed. A blower that burns out because the filter was blocked will do it again.

Buying on the first quote in an emergency. Emergency pricing plus a replacement decision made cold and tired is the worst combination in this article.

Skipping the annual service. It is the cheapest thing here, it catches slow leaks and cracked exchangers, and it produces the service record that defeats a maintenance argument in a claim. Which matters more than people expect.

Not asking about rebates. Utility and government efficiency rebates for heat pumps and high efficiency equipment are frequently substantial and are rarely mentioned unless you ask.

Questions for the quote

  • What exactly failed, and why?
  • Is the part still available, and for how long?
  • What is the warranty on the part and on the labor?
  • If I replace instead, what does that cost and what is the efficiency difference?
  • Are there rebates, and will you handle the paperwork?
  • What is not included?

The short version

Ask about the service call, the diagnosis charge, and whether they credit against the work. Then ask how old the system is, because that decides whether a large repair is worth making. Never accept a refrigerant top up as a fix. Get the annual service: it is the cheapest line item here and it protects the claim as well as the equipment.
